Custom jewelry order tracking keeps a commission on one record from the first quotation to collection. In GetJewelryPOS you quote the piece, take a deposit, move it through production stages with notes and photos, and raise the final invoice with every payment already credited. Nobody has to remember what the customer approved or how much they have paid.

Definition
A custom order is a piece made to a customer's design or specification rather than sold from stock. It usually starts with a quotation, then a deposit, then production stages such as CAD, casting, setting and polishing. Each stage needs the customer's approvals and the agreed price written down.
J-07 · At the counter and the bench
Write a quotation with the design, metal, karat, estimated weight, stones and price. Save sketches or reference photos with it so everyone sees the same design.
When the customer accepts, convert the quote and record the deposit. The balance due is tracked on the order and the customer ledger. Print a deposit receipt for the customer.
Track stages such as CAD approval, casting, setting and polishing. Add notes and photos at each stage, including what the customer approved and when. Nothing approved by word of mouth gets lost.
Send an SMS or email when a stage needs approval or the piece is ready. Further payments are recorded against the same order. Each payment prints its own receipt.
Weigh the finished piece and raise the final invoice. Deposits and part payments are credited, so the customer pays only what remains. The finished order then moves to the customer's history.
Specification
Save quotations and drafts before anything is agreed. Revise them as the design changes and keep earlier versions for reference. A quotation can be printed or emailed to the customer, and converted to an order when they agree to go ahead.
Record the deposit and any later payments on the order. The balance is always visible to whoever answers the phone. Each payment has its own receipt and method, and the final invoice credits all of them.
Name the stages your workshop uses, from CAD to final polish. The order list shows where each commission stands. Filter by stage to see which commissions are waiting on CAD, the caster or the setter, and which are waiting on the customer.
Attach photos of sketches, CAD renders, wax models and the customer's own stones. Notes record decisions such as ring size or engraving text. If a question arises later about what was approved, the photo and the date are on file.
If you price by weight, the final weight, karat, your rate, making charge and stones produce the final price. Fixed quotes stay fixed. The calculation uses your rate for the day, not a live feed.
The order, payments and final invoice stay on the customer record. Repeat commissions start from what you already know about them. Sizes, metal preferences and past designs are there when they return, so staff do not need to ask again.
