Definition

Serialized item

A serialized item is a single physical piece tracked by its own unique number rather than as a quantity of identical stock. In a jewelry store that number ties one diamond ring to its lab report, its purchase cost, its tray location, the customer who bought it and any later return or warranty claim.

How serialised items & certificates works

  1. Step 1

    Receive the piece

Add the item by hand or by CSV import and give it a serial or stock number. Use your existing numbering if you have one, so old tags and paperwork still match the system.

  2. Step 2

    Record the certificate

Enter the lab name, report number, carat, color, clarity and cut in the item's custom fields. Keep the paper certificate in the safe; the details live with the piece in the POS.

  3. Step 3

    Sell by scan or search

At the counter, scan the tag or type the serial. The exact piece comes up with its certificate details, so the customer sees the report number that matches the stone in the tray.

  4. Step 4

    Link sale and customer

Completing the sale ties the serial to the customer record and the invoice. Warranty terms set for the item print on the receipt and stay attached to that piece.

  5. Step 5

    Handle returns cleanly

If the piece comes back, look up the serial and process a sales return against the original sale. The item returns to stock with its certificate details unchanged and its history intact.

What’s included in serialised items & certificates

  1. One number per piece

Each item can hold its own serial or stock number alongside its SKU. Two rings of the same design stay separate records, so cost, certificate and sale history never get mixed between them.

  2. Certificate fields you define

Custom fields hold lab, report number, carat weight, color, clarity and cut. Name them the way your trade does and add others, such as fluorescence or metal stamp, if your stock needs them.

  3. Search from any field

Find a piece by serial, SKU, report number or name. A customer phoning about a stone they saw last week can be answered from the report number on their photo.

  4. Warranty per item

Attach a warranty to a product so its period and terms print on the invoice. When the customer returns with a claim, the serial shows when it was sold and what was promised.

  5. Returns tied to the original sale

Sales returns are recorded against the invoice the piece left on. Refunds, exchanges and stock movements stay in one trail instead of a handwritten note in the drawer. Staff no longer reconcile them by hand at month end.

  6. History that stays

The item record keeps its purchase, sale and return entries. Months later you can see who sold the piece, at what price and to which customer, without digging through paper files.

US · USD

United States

Bridal buyers in the US often compare report numbers before they visit, so being able to search by report number at the counter saves a back-room trip. Sales tax is added at checkout on the invoice.

AE · AED

UAE

In Gold Souk and mall stores alike, customers often send a photo of the certificate on WhatsApp first; staff can look up the report number and reply with the matching piece. Invoices show VAT-inclusive prices.

Pakistan

Diamond and polki pieces in Pakistani stores increasingly come with lab reports; storing the report number on the item lets staff answer a customer's query from the counter rather than the locker.

What it doesn't do

GetJewelryPOS stores certificate details; it does not verify them. Check a report number on the grading lab's own website before you buy or sell on it. We do not read certificate PDFs automatically or connect to any lab's database. Card payments for these sales go through your own card processor and terminal.

Serialised items & certificates: common questions

Can I use my existing stock numbers as serials?

Yes. Import them by CSV or type them in, and the old tags on your trays keep working. You do not need to retag the store to start.

Which certificate details can I store?

Lab, report number, carat, color, clarity and cut are set up as custom fields, and you can add more. Each piece holds its own values, so two similar stones never share one record.

Does GetJewelryPOS check that a certificate is genuine?

No. It records the details you enter. Verify the report number on the issuing lab's website before relying on it, and keep the paper or PDF report safe.

Can I find an item by its report number?

Yes. Search works on the serial, SKU, name and the report number field. That helps when a customer sends a photo of a report and asks if the stone is still available.

What happens to the serial when a piece is returned?

Process a sales return against the original invoice. The piece goes back into stock under the same serial with its certificate details and history kept.

Can each piece have its own warranty?

Yes. Set a warranty on the product and it prints on the invoice. When a claim comes in, the serial shows the sale date and the terms that applied.

Do non-serialized items still work?

Yes. Findings, chains sold by length, batteries and cleaning products can be tracked as normal quantity stock alongside your serialized pieces.

Can staff see cost price on a serialized item?

Only if their role allows it. Permissions control who sees cost, who edits prices and who can discount, so the counter view can hide what it should.

Can I import certificate details in bulk?

Yes. Add the certificate columns to your CSV and map them to the custom fields during import. Check a few records afterwards before you start selling from them.
