Old gold exchange software for buybacks and trade-ins

Old gold exchange software records the gold a customer brings in and turns it into credit against a new piece. In GetJewelryPOS the trade-in is a purchase from the customer, with weight, karat and your deduction, valued at the rate you entered for the day. That value is offset against the new sale, so the customer pays only the difference.

  • Gold jewelers who accept exchange every day
  • Stores buying old gold for refining
  • Counters that want the deduction shown openly

Definition

Deduction

A deduction is the percentage a jeweler takes off the value of old gold when buying it back or accepting it in exchange. It covers melting loss, solder, impurities and handling. Stores set their own deduction, often different for exchange and for outright cash buyback, and showing it openly builds trust.

How old gold exchange works

  1. Step 1

    Weigh and test

Weigh the customer's old gold and confirm its karat with your own testing. Note stones, solder or damage that affect the value before you agree anything.

  2. Step 2

    Record the purchase

Enter the old gold as a purchase from the customer, with weight, karat and your deduction percentage. The value comes from the rate you set for the day.

  3. Step 3

    Choose the new piece

Add the new item to a sale as usual, priced by weight, karat, making charge and stones, or at its fixed tag price. The old gold credit is applied in the next step.

  4. Step 4

    Offset and settle

Apply the old gold value against the new sale. The invoice shows both sides, and the customer pays the remaining balance by any method. Print the invoice for the customer's file.

Specification

What’s included in old gold exchange

  1. Recorded as a purchase

The trade-in is a proper purchase from the customer, not a discount. Your stock and accounts show old gold received, which matters when you sell it on to a refiner.

  2. Weight, karat and deduction

Each exchange records the weight, the karat and the deduction percentage. Anyone reading the record later can see exactly how the value was reached. The deduction can differ for each transaction if you negotiate.

  3. Uses your rate for the day

The old gold is valued at the rate you entered that morning. The same rate prices the new piece, so both sides of the deal match. Change the rate and new exchanges use it from then on.

  4. One clear invoice

The new sale and the old gold credit sit on one invoice. The customer sees the new piece, the exchange value and the balance due. Print it in the shop's language so the whole family can read it.

  5. Cash buyback too

When a customer only wants to sell, record the purchase and pay out. Use a different deduction for buyback than for exchange if that is your policy. Cash buybacks appear in purchases like any other supplier entry.

  6. Customer history

Exchanges stay on the customer record. Regular customers who upgrade every festival season have their full trade-in history in one place. Staff can see past deductions and weights before quoting, which keeps offers consistent between counters.

What it doesn't do

The software does not test gold. Karat and weight come from your scale and your testing, and the deduction is your decision. There is no live gold feed; you enter the rate. Identity checks and records for buying secondhand gold follow your local rules and are the store's responsibility. Payouts by card or transfer go through your own bank or processor.

Old gold exchange: common questions

How is old gold recorded?

As a purchase from the customer, with weight, karat and deduction. It is not entered as a discount, so stock and accounts stay correct.

Can old gold be offset against a new piece?

Yes. The exchange value is applied to the new sale and the customer pays the difference. Both appear on one invoice.

Who sets the deduction?

You do. Set the percentage per transaction, and use different deductions for exchange and cash buyback if your policy does.

Does the software test karat?

No. Karat and weight come from your own testing and scale. The software calculates from what you record.

What rate is used for the old gold?

The rate you entered for the day. There is no live gold feed, and no rate is fetched automatically.

Can I buy gold without a new sale?

Yes. Record the purchase from the customer and pay out. It appears in purchases and on the customer record.

What about old pieces with stones?

Weigh and value the gold as you normally do and note the stones. Record the gold weight you are paying for, not the gross weight.

Do I need to record the seller's ID?

That depends on your local rules. Use the customer record and custom fields to keep what your city, state or country requires.

Can I see how much old gold we hold?

Yes. Old gold received is stock you can report on, ready to send to a refiner or remake.
