Jewelry inventory control software for stock you cannot afford to lose

Jewelry inventory control software tells you where every piece should be and who touched it last. GetJewelryPOS records tray and case locations, stock counts and adjustments with reasons, keeps an audit trail of sales and edits, and limits who can discount, void, see cost or change prices. Registers open and close with counted cash, so gaps show the same day.

  • Owners who want same-day visibility of shrink
  • Stores with several staff on one counter
  • Jewelers who take pieces on memo from suppliers

Definition

Shrink

Shrink is stock that the records say you have but the trays do not. In a jewelry store it comes from theft, switched pieces, unrecorded memo returns, mistaken voids and data-entry errors. Because single items are worth so much, catching shrink means frequent counts and knowing who changed what and when.

How high-value inventory controls works

  1. Step 1

    Set roles

Decide who can discount, void, see cost, edit prices or adjust stock. Give counter staff, managers and owners different roles, per location if you have more than one.

  2. Step 2

    Place every piece

Record each item's rack, row and position, so the system knows the tray and case it belongs in. Lot numbers group pieces that arrived together.

  3. Step 3

    Count trays

Run stock counts by case or tray at opening, closing or weekly. Differences between counted and expected stock are listed piece by piece. Recount a single tray in minutes.

  4. Step 4

    Explain every adjustment

Any change to stock needs a reason, such as damaged, sent to repair or found. The adjustment, the user and the time go into the record.

  5. Step 5

    Close the register

At the end of the day close each register with counted cash. The audit trail and user activity show who sold, voided or edited, if anything looks wrong.

Specification

What’s included in high-value inventory controls

  1. Role-based permissions

Control discounts, voids, cost visibility, price edits and stock adjustments by role. Most counter staff never need to see cost or change a price. Change a role once and it applies to every user who holds it.

  2. Tray and case locations

Racks, rows and positions describe where a piece lives. When a count comes up short, you know which case to search first. Reports can list stock by case, which helps when you move or redisplay pieces.

  3. Stock counts

Count a whole store, one case or one tray. The result lists missing and extra pieces, so a weekly count takes minutes, not an evening. Count history is kept, so you can compare this week with last.

  4. Adjustments with reasons

Every adjustment records a reason, the user and the time. A pattern of adjustments from one login is easy to spot. Managers can review adjustments by reason, user or date before signing off a count.

  5. Audit trail and user activity

Sales, edits, voids and price changes are logged per user. If a piece disappears, you can see every action on it. Filter the log by user or date to review a whole shift in a few minutes.

  6. Register open and close

Registers open and close with counted cash. Suspended sales are kept, so a sale paused for a customer is not lost or quietly deleted. Differences between counted and expected cash are recorded per register and per day.

US · USD

United States

US jewelers often carry memo goods from suppliers; tag them with their own lot number so memo returns are recorded and never counted as sales or shrink. Insurers commonly ask for inventory records, so keep regular counts.

UAE

Souk stores often run long hours with rotating staff; per-user activity and register counts at each shift change show who handled what, and WhatsApp photo requests can be answered from the tray location.

Pakistan

In busy sarafa bazaar shops, family members and salesmen share one counter; separate logins and roles mean each sale and adjustment is recorded under the person who made it.

What it doesn't do

Software does not stop theft on its own. It shows where gaps appear and who acted, but cameras, safes, insurance and how you show pieces still matter. We do not connect to CCTV or alarm systems. Checking staff identity and customer ID for high-value sales follows your own policy and local rules. Card payments go through your processor.

High-value inventory controls: common questions

Can I stop staff from giving discounts?

Yes. Discounts are a permission. Give it only to roles that should have it, and set it per location if needed.

Can counter staff be prevented from seeing cost?

Yes. Cost visibility is controlled by role, so the counter can sell without seeing your margin.

How do tray counts work?

Count a case or tray and compare it with what the system expects. The difference is listed piece by piece.

Do stock adjustments need a reason?

Yes. Each adjustment records a reason, the user and the time, so changes can be reviewed later.

Is there an audit trail?

Yes. Sales, edits, voids and price changes are logged with the user who made them, and user activity can be reviewed.

Can I track where a piece is displayed?

Yes. Record a rack, row and position for each item to describe its case and tray.

Does it handle memo stock from suppliers?

Use lot numbers and supplier records to keep memo goods identifiable. Record returns to the supplier so they leave stock correctly.

Does it connect to our cameras?

No. GetJewelryPOS does not integrate with CCTV or alarms. Use the audit trail's time stamps to find the matching footage.

Can I limit access to one shop?

Yes. Users can be restricted to specific locations, so staff in one shop do not see or change another's stock.
