Jewelry repair tracking software for the counter and the bench

Jewelry repair tracking software replaces the paper ticket with a job sheet that follows the piece from counter to bench and back. GetJewelryPOS records the customer, item, serial, reported problem and condition at intake, assigns a bench technician and due date, and moves the job through statuses you define. Customers get an update when it is ready and can check status by job number.

Job sheet

A job sheet is the record a jeweler opens when a customer leaves a piece for repair. It lists the owner, the item, its condition at intake, the work requested, the promised date and the technician. It travels with the job envelope and is the evidence if anyone later disputes what was handed over.

How repair tracking works

  1. Step 1

Take it in at the counter

Open a job sheet with the customer, item description, serial if it has one, the reported problem and the condition you see. Note loose stones, worn prongs or existing scratches before the customer leaves.

  2. Step 2

    Tag the envelope

Print the job sheet and an envelope tag with the job number. The piece goes into its envelope, and the number on the tag matches the record on screen.

  3. Step 3

    Assign the bench

Set the technician and the due date. The job moves through your statuses, for example Received, At bench, Waiting for parts, Ready for pickup, each shown in its own color.

  4. Step 4

    Tell the customer

When a status changes, send the SMS or email template you wrote for it. The customer can also check progress with the job sheet number instead of phoning the store.

  5. Step 5

    Invoice and hand back

Raise the repair invoice, take payment and mark the job Collected. The record stays on the customer's file with the work done and the date it left the store.

What’s included in repair tracking

  1. Condition at intake

A checklist and notes field capture what the piece looked like when it arrived. That record settles the most common repair dispute: whether a stone was already loose or a shank already thin.

  2. Statuses you name

Create the stages your workshop actually uses and give each a color. The repair list then reads like a board: what is waiting, what is at the bench and what is ready.

  3. Messages per status

Write an SMS or email template for each status. Ready for pickup can include store hours; Waiting for parts can explain the delay. Staff send them without retyping. A manager can edit the templates at any time.

  4. Printable job sheet and tag

Print a full job sheet for the file and a small label for the envelope. The job number links paper and screen, so pieces are found by number, not by memory.

  5. Bench and due dates

Each job carries an assigned technician and promised date. Filter by technician or by due date to see what must leave the bench today and who is holding it. Late jobs stand out before the customer calls.

  6. Repair invoice

Bill the work on its own repair invoice, with parts and labor as you price them. Payment, receipt and job history stay together on the customer record. Repair revenue also shows separately in your sales reports.

How repair tracking works in the USA, the UAE and Pakistan

Same software, local habits. Pick a market to read the note for it.

US · USD

United States

US stores often promise repairs in days and run watch batteries, sizing and prong work through the same bench; colored statuses keep a busy Saturday's intake visible. Sales tax on repair labor varies by state, so set tax rates to match yours.

AE · AED

UAE

Gulf customers expect updates on WhatsApp; use the status templates to send the message text, and quote repair charges VAT-inclusive at the counter.

Pakistan

Many Pakistani stores send repairs to a karigar outside the shop; set Waiting at karigar as its own status so the counter knows which pieces are out and since when.

What it doesn't do

Repair tracking records and reminds; it does not price the work for you or estimate bench time. SMS sending needs an SMS provider account set up in your settings, and message costs are theirs. Photos of the piece are only as good as the ones staff take. Card payments for repair invoices run through your own processor.

Repair tracking: common questions

Can I change the repair statuses?

Yes. You set the status names, their order and their colors. A common set is Received, At bench, Waiting for parts, Ready for pickup and Collected, but use what your workshop uses.

How does the customer know their repair is ready?

Attach an SMS or email template to the Ready status and send it when the job moves there. The customer can also check the status using the job sheet number.

Can I record the condition of the piece at intake?

Yes. The job sheet has a checklist and notes for condition at intake. Use it for loose stones, worn claws or scratches so there is a record before work starts.

Do I get a tag for the repair envelope?

Yes. Print a label with the job number for the envelope and a full job sheet for the file. The number links the physical piece to the record.

Can I assign repairs to different bench jewelers?

Yes. Each job has an assigned technician and a due date. Filter the list by technician to see each person's workload.

Does it work if we send repairs to an outside workshop?

Yes. Add a status such as Sent to workshop and note who has it. You still see how long each piece has been away.

Is the repair billed separately from sales?

Yes. Repairs have their own invoice, and payment is recorded against it. The job and invoice stay on the customer's history.

Is there a cost for SMS updates?

SMS messages go through the SMS provider you connect, and they charge for messages. Email notifications use your configured mail settings.

Can I see overdue repairs?

Yes. Filter jobs by due date and status to see anything past its promised date that has not reached Ready for pickup.
