Close the day: register, cash and tray count

Close each register with a cash and card count, count your trays against stock, check open layaways and repairs, and run the end-of-day reports.

This article shows how to close a jewelry shop at the end of the day: close each register with a counted float, count the trays before they go into the safe, and check the reports. Done in the same order every night, the close takes a few minutes and catches mistakes while everyone still remembers the day.

Before you start

  • Your role includes Close register and View register totals, and Stock count if you count trays. See Add locations, registers and staff.
  • No sale is still open on screen. Finish it, or Suspend it with a note.
  • Your terminal’s end-of-day batch printed, so you have the card total from the processor.
  • A cash count sheet, or a calculator and a quiet corner.

Step 1: Clear the counter

  1. Go to Sell (POS) and open Suspended sales. Finish, cancel or carry forward each one, and note why anything is carried forward.
  2. Check that any old gold bought today has a signed receipt. See Old gold buy-back.
  3. Make sure every repair taken in today has a job sheet and its envelope is in the bench tray. See Log a repair job.

Step 2: Close each register

  1. At the register, go to Sell (POS) and click Close register.
  2. The screen shows what the system expects: opening float, cash sales, cash refunds, cash paid out for expenses or old gold, and totals by payment method.
  3. Count the cash drawer. Enter the count by denomination if your screen shows the denomination table, or enter the Total cash counted.
  4. Enter the Total card slips from the terminal batch, and the number of slips.
  5. Enter any Bank transfer or Cheque totals received.
  6. Read the difference line. If counted and expected match, good. If not, recount before going further.
  7. Add a Closing note: the reason for any difference, the float left in the drawer for tomorrow, and the cash going to the safe or bank.
  8. Click Close register. The register report prints or saves with your name and the time.

Never close a register for someone else under your own login, and never share logins to make a close go faster. The close is your signature on that drawer.

Step 3: Count the trays

Fine jewelry is counted every night, not once a year.

  1. Go to Stock count → Add.
  2. Choose the Location and the Racks (trays or cases) you are counting. For a full count, choose all.
  3. Scan every tag in each tray as it comes out of the case.
  4. Click Compare. The count lists pieces expected but not scanned, and pieces scanned that the system does not expect in that tray.
  5. Check the usual explanations first: sold today but still on the counter, out on memo or appro, in a repair envelope, moved to a different tray, on layaway and set aside.
  6. Fix tray locations with Rack / Row / Position where a piece was simply in the wrong place.
  7. Click Save count. Anything still missing goes to a manager tonight, not tomorrow.

Pieces on layaway or in transit to another shop are not expected in the tray, so they do not show as missing.

Step 4: Run the end-of-day reports

  1. Reports → Register report: each register’s close, counted against expected, by user. Check every register in the shop is closed.
  2. Reports → Sales, today, by user: sales, discounts given and voids. Look at any large discount or void.
  3. Reports → Layaway due or Customer dues: payments due tomorrow, so reminders go out.
  4. Repairs → Job sheets, filtered by Ready for pickup and by due date today: anything late.
  5. Reports → User activity, if anything above looked odd.

Step 5: Lock up

  1. Put the trays and the counted cash in the safe.
  2. Log out of every register and computer.
  3. Tomorrow morning: enter today’s gold rate (see Set gold rates and making charges), then open the register with the float you counted tonight.

Common questions

What if the cash is short and we cannot find why? Close the register with the counted figure and a clear note. The difference stays on the register report against the user and the date, which is what you want; do not adjust the count to match.

Do I have to count every tray every night? It is your choice. Many shops count diamonds and high-value cases nightly and the rest weekly. Choose the racks in Stock count to match.

Can the owner see every shop’s close from home? Yes. The register report and sales reports can be filtered by location or shown for all shops, from any browser.
