Transfer stock between shops
Send pieces from one shop to another, track them while in transit, receive and check them by serial, and count trays afterwards so stock agrees.
This article shows how to move pieces from one of your shops to another: create the transfer, track it while it is on the road, receive it at the other end, and count afterwards. Stock only changes location through a transfer, so every piece always has one shop it belongs to.
Before you start
- You have two or more locations. See Add locations, registers and staff. The Souk plan includes 3 locations; see Pricing.
- Your role includes Stock transfers, and access to both locations, or one person at each end has it.
- The pieces have serials and tags. See Print jewelry tags.
- An agreed way of moving goods: who carries them, sealed bags or a locked case, and who signs at each end.
Step 1: Create the transfer
- Go to Stock transfers → Add stock transfer.
- Choose the Location (from), where the pieces are now, and the Location (to), where they are going.
- Enter a Reference no. if you number your consignment bags; otherwise one is created for you.
- Scan each tag, or search by serial, to add the pieces. For gold sold by weight from bulk stock (for example chain by the gram), enter the weight.
- Check the list: number of pieces and total weight should match what is in the bag.
- Add Shipping charges if a courier is used, and a Note with the bag seal number and the carrier’s name.
Step 2: Send it
- Set the Status to In transit and click Save.
- Print the transfer note. Put one copy in the bag and keep one at the sending shop, signed by whoever hands over the bag.
- The pieces leave the sending shop’s sellable stock immediately. They cannot be sold at either shop while in transit, and they disappear from that shop’s availability in the online store.
While the transfer is In transit, it appears in the Stock transfers list with its status color. Filter by In transit each morning so nothing sits on the road unnoticed.
Step 3: Receive and check
At the receiving shop:
- Check the bag seal number against the transfer note before opening it.
- Open Stock transfers, find the transfer and choose Receive (or Edit).
- Scan each piece out of the bag. Each scanned serial is ticked against the list.
- Weigh gold sold by weight and compare it with the transfer.
- If everything matches, set the Status to Completed and click Save. The pieces are now in the receiving shop’s stock, with the transfer in each piece’s history.
If something does not match
- Do not mark the transfer completed. Leave it In transit and add a note of what is missing or extra.
- Call the sending shop and check their copy of the note and their trays.
- Once resolved, edit the transfer to the pieces actually received, then complete it. Anything genuinely missing is written off with a Stock adjustment and a reason, which a manager approves.
Step 4: Put the pieces away and count
- Edit the received pieces’ Rack / Row / Position to the tray or case they now live in. Bulk edit works for a whole bag going into one tray.
- Run a quick count of the trays you filled: Stock count → Add, choose the location and the racks, and scan the tray. The count compares what you scanned with what the system expects.
- At the sending shop, count the trays the pieces came from, so both ends agree before the next day’s trading.
Counts and adjustments are recorded against the user who did them; see High-value inventory controls.
Seeing stock across shops
- Reports → Stock report, filtered by location, shows what each shop holds.
- Search a serial in Products → List products → Product stock history to see every transfer it has made.
- Reports → Stock transfer report lists transfers by date, status and shop.

Common questions
Can I sell a piece that is in transit if a customer at the receiving shop wants it now? Receive the transfer first. Selling stock that is not at your location is blocked on purpose, so a piece is never sold twice.
Can I cancel a transfer? Yes, while it is still In transit. Edit it and delete the pieces, or delete the transfer; the pieces return to the sending shop’s stock.
Can each shop have different prices for the same piece? Yes. Give a location a different selling price group in Settings → Business locations, and the piece takes that shop’s price when it arrives.
