Import jewelry products from a CSV file
Prepare a CSV with serial, metal, karat, weights, making charge, certificate and tray location, import it, and fix any rows the check rejects.
This article shows how to load your catalogue in one go from a spreadsheet saved as CSV. A first 100 items typically take about 30 minutes, most of it spent tidying the spreadsheet. Once imported, the pieces are ready to sell and appear in your online store.
Before you start
- Your business and at least one location exist. See Create your account.
- Your stock list exported from your old system or spreadsheet.
- Custom fields created for jewelry details. Go to Settings → Business settings → Custom labels and name your product custom fields, for example Metal, Karat, Stone weight, Certificate lab, Report number.
- Categories and brands you want to use. You can create them during import, but agreeing names first keeps the list clean.
- Rack/row/position names that match the trays and cases in your shop.
Step 1: Download the template
- Go to Products → Import products.
- Click Download template. Open it in Excel, Google Sheets or LibreOffice.
- Keep the header row exactly as it is. Add one row per item.
Step 2: Fill the columns
The template has many columns; only some are required. For jewelry, fill these:
| Column | What to enter |
|---|---|
| SKU | Your stock or serial number. Must be unique. For one-of-a-kind pieces this is the serial. |
| Product name | What the customer sees, for example “18K white gold solitaire ring”. |
| Category / Sub-category | Rings, Earrings, Necklaces, Bangles, Watches. |
| Brand | Designer or maker, if any. |
| Unit | “Piece” for tagged items, “Gram” for items sold by weight. |
| Metal (custom field) | Yellow gold, White gold, Rose gold, Platinum, Silver. |
| Karat (custom field) | 24, 22, 21, 18, 14. Numbers only. |
| Gross weight | Total weight in grams, metal plus stones. |
| Net weight | Metal only, in grams. Gold pricing uses this. |
| Stone weight (custom field) | In carats, for example 0.52. |
| Making charge (custom field) | Per gram, flat, or %; see Set gold rates and making charges. |
| Certificate lab (custom field) | The grading lab’s name. |
| Report number (custom field) | The number printed on the certificate. |
| Purchase price | Your cost. Hidden from roles without cost permission. |
| Selling price | Tag price, or leave for weight-based items to be calculated. |
| Opening stock | 1 for a unique piece. |
| Location | The shop that holds it, spelled as in Settings → Business locations. |
| Rack, Row, Position | Case, tray and slot, for example “Case 3”, “Tray B”, “12”. |
| Enable stock management | 1, so the item is counted. |
| Image | A public image URL, if you have one. Otherwise add photos later. |
Tips:
- Use a full stop for decimals (4.25, not 4,25).
- Do not mix units in a column. Weights in grams only; convert tola before importing (1 tola = 11.664 g).
- Leave a cell empty rather than writing “N/A”.
Step 3: Save as CSV and upload
- Save the sheet as CSV UTF-8. UTF-8 keeps Arabic and Urdu names readable.
- Back in Products → Import products, click Choose file and select the CSV.
- Click Submit.
Step 4: Read the check and fix errors
The import checks every row before saving anything. If one row fails, nothing is imported, so you never get half a catalogue.
When it fails, the screen lists the row number and the problem. The usual causes:
- SKU already exists. Two rows share a serial, or the item is already in the system. Make the serial unique or remove the row.
- Invalid number. A weight or price contains text, a currency symbol or a comma decimal. Keep digits and one full stop only.
- Location not found. The location name does not match exactly. Copy it from Settings → Business locations.
- Unit not found. Create the unit in Products → Units first, or use an existing one.
- Missing required column. A header was renamed or deleted. Paste the header row from a fresh template.
Fix the rows in your spreadsheet, save as CSV again, and re-upload. Row numbers include the header, so row 2 is your first item.
Step 5: Check the result
- Open Products → List products and filter by location.
- Spot-check a few pieces: weights, karat, certificate number, tray location.
- Open Reports → Stock report and compare the count with your physical count.
- Print tags for the new items; see Print jewelry tags.

Common questions
Can I import the same item into two shops? Import it once, with opening stock at one location, then transfer it. This keeps one serial and a clear movement history.
Can I update prices by re-importing? Use Products → Update price (export, edit, re-import) for bulk price changes. The product import is for creating new items.
My photos are on my computer, not online. What do I do? Import without images, then add photos on each product’s edit screen.
